Aurelian integrates with Stripe to process credit and debit card payments securely within the reservation system.


Process deposits, payments, and refunds directly from the reservation — no switching systems.


Payments can be processed securely, cards can be verified instantly, and pre-authorisations can be performed with ease. This allows moteliers to manage deposits, guarantees, and payments within Aurelian while maintaining strong payment security.

  • Secure card payments directly in Aurelian

    Aurelian integrates directly with Stripe to process guest card payments quickly and securely from within the reservation account. Once connected, staff can charge cards, process deposits, or issue refunds without leaving Aurelian or logging into a separate payment system.


    Card payments are processed through Stripe in seconds and the transaction is automatically recorded against the guest’s invoice in Aurelian, reducing manual entry and eliminating reconciliation errors.

  • How payments work

    When a payment is processed in Aurelian, the system securely sends the transaction to Stripe for authorization and processing. Within a few seconds Stripe returns a confirmation, and the payment is automatically recorded on the reservation invoice.


    Staff can :


    • Charge the outstanding balance or a custom amount

    • Select which stored card to charge

    • Process payments directly from the reservation account

    • Automatically record the payment and any surcharge on the guest invoice

    Because the transaction is processed through Stripe, the payment is secure and immediately linked to the booking.

  • Pre-authorising guest cards

    Aurelian can also pre-authorise guest cards through Stripe.


    A pre-authorisation verifies the card and temporarily holds funds on the guest’s account without charging it immediately. This is useful for deposits, security bonds, or verifying that a card is valid before arrival.


    Once the guest checks out, the held amount can be captured as a payment. If the payment is not captured, the hold automatically expires after several days and the funds are released back to the guest’s card. 


    This gives moteliers confidence that the card on file is valid while avoiding unnecessary charges to guests.

  • Fast & simple refunds

    Refunds can be processed directly from the reservation invoice in Aurelian.


    Staff simply select the original payment and choose the refund option. Aurelian sends the request to Stripe and the refund is processed back to the guest’s card automatically.


    Both full and partial refunds are supported, and the credit transaction is recorded in the guest invoice to maintain an accurate financial record. 


    This keeps payments, refunds, and guest accounts perfectly synchronised.

AUTOMATEd ACCOUNTING WORKFLOW

Xero accounting integration

Aurelian integrates with Xero to simplify accounting while keeping all operational control inside your reservation system.


Invoices, payments, and financial reporting are managed directly within Aurelian. The Xero interface simply transfers payment records to Xero automatically, for bank reconciliation and financial accounting without requiring duplicate data entry.  This means moteliers can run their entire business in Aurelian while still maintaining seamless integration with their accounting system.

    When payments are recorded in Aurelian,they're automatically transferred to Xero.


    The payment appears in the selected Xero bank account with the correct reference details, allowing it to be matched during bank reconciliation without needing to manually enter transactions.


    This ensures accounting records stay aligned while eliminating duplicate work.

  • Operations stay in Aurelian

    Aurelian handles the full operational side of your business, including reservations, invoices, guest accounts, debtors, and income reporting.


    Because all financial activity originates in Aurelian, moteliers do not need to recreate invoices or transactions inside Xero.

    The workflow is simple :

    This ensures the accounting records in Xero reflect the activity already recorded in Aurelian.

    Aurelian's Xero  integration allows moteliers to manage their daily financial activity directly in Aurelian while keeping Xero automatically updated.


    Payments recorded in Aurelian appear in Xero ready for bank reconciliation and financial reporting, ensuring your accountant always has accurate records when it comes time to prepare end-of-year accounts.

Seguro automated room access control

Aurelian integrates with Seguro to provide automated guest room access using secure QR codes. Guests receive a unique QR code before arrival which allows them to unlock their room directly from their mobile phone.


Because Seguro can trigger any electronic door locking system, this solution works with any electronic door lock without requiring specific lock brands or hardware.


Guests simply scan their QR code at a scanner located at your motel to unlock their guest room door, and Aurelian automatically checks them in. The result is seamless arrivals, no physical keys or access cards to manage, and far less time spent waiting for late arrivals.

  • Works with any electronic door lock

    Seguro can connect to any electronically controlled lock system. Instead of relying on a specific lock brand, the system simply triggers the electrical circuit that controls the lock mechanism.


    This means it can be deployed across a wide range of access points including :


    • Sliding doors
    • Hinged doors
    • Rotating doors or gates
    • Car entry boom gates

    Because the system works at the electrical control level, existing lock hardware can be retained.

  • Automatic QR codes before arrival

    When a reservation is created in Aurelian, whether booked online or entered manually, it becomes part of the automated access workflow.


    A preset number of days before arrival, Aurelian automatically sends the reservation details for that arrival date to Seguro. Seguro then generates a unique QR code for each guest and automatically emails it to them.


    On arrival, guests simply scan their QR code at the reader installed at the property to unlock their room. The first time the QR code is used, Seguro signals Aurelian to automatically check the guest in.


    The QR code remains valid for the duration of the stay and expires automatically on the departure date.

  • Reservations stay perfectly in sync

    If any changes are made in Aurelian to the reservation after the original QR code is sent, such as room changes, date changes, or  duration, Aurelian automatically transmits this information to Seguri which automatcally generates and emails a new QR code to the guest.


    If a reservation is cancelled, the previously issued QR code is automatically deactivated.


    This ensures access permissions always match the current reservation.

  • Automatic checkin

    When guests arrive, they simply scan their QR code at the reader installed at the property.


    The reader can be located wherever the property owner prefers, such as:


    • At reception
    • At the guest room door
    • At a property entry point

    When the QR code is scanned, the door unlocks automatically and the guest is checked in within Aurelian.
