Credit/Virtual Cards for on-line reservations

On Thursday 12 Dec 2019 we implemented storing on-line credit or virtual cards in the Booking area of credit cards.

From 12 Dec 2019 you can now have a credit card for the booking and a card for the guest enabling you to charge the booking agent's card for reservation charges and the guest's card for additional charges.

The Booking card is unique to the reservation i.e. each time a guest makes a booking on Expedia, the unique Expedia virtual card will be stored on each reservation.

Debtors

Debtors are now automatically filtered by Reservation State group = Checked Out. You can still change the filtering if you choose by clicking on the Reservation State column funnel but for the majority of instances this is the filtering you'll need.

Debtors by Agent is now fully- supported. Simply move the Agent column title to the Grouped By row and remove the Company grouping. Your agents will now be displayed along with their balances. Select the Agent debtors template when printing or emailing to ensure this includes the agent address details.

Documents

The vertical scroll bar on the right of the document has been reinstated.

Today page

Room descriptions are now included in the list of rooms.

Transaction Packages

These have been adjusted to support packages that don't have accommodation transactions in them e.g. meeting/conference rooms and to correctly post non-accommodation transactions.

Credit cards in reservations

Previously you had to click on the Guest credit card button to view the card details even though this was highlighted. This is now fixed. Click on Show or Update and it will display the card details for the highlighted card source.

Saving Guest comments from a reservation

If you entered a note about guest preferences while in a reservation, these were not being correctly updated in the Guest data. This has now been fixed and these are now saved for that guest.

Copy / Paste reservations

There was an issue if you copied, pasted and then emailed a reservation without opening it before emailing because invoice details had not been fully re-set with the paste function. This is now fixed and you can copy, paste then email straight away.

Changing a reservation's room number

If you opened a reservation and selected a new room number (instead of dragging and dropping on the reservation calendar) the app would close. This has been fixed and a list of rooms is now displayed as soon as you go to change a room number from an open reservation.

Help - Update documentation option

This option in the top right of the Aurelian app now takes you to the new blog on our Aurelian website.

New Features

Groups

Re-assign Group Master Accounts. You can now re-assign the group master account to another reservation. In Group Details, click the right-hand column the room you want to assign as a master account. Save the changes and the master account is re-assigned.

Deleting Reservations in a group. Deleting all the reservations in a group now allows you to delete the group master. Once the group master account is deleted, the group is also deleted.

Reservation Calendar

Company instead of guest name. If a guest is not assigned to a reservation, the company name is displayed in the reservation calendar where the guest name usually is displayed. This is to support creating reservations for companies without assigning a guest.

Comments in the reservation hint window. When you hover the mouse over a reservation, a hint window is displayed with information about the reservation. The hint window now includes both reservation comments and guests comments

Reservations for companies

Reservations with company and no guest.

You can now allocate a company to a reservation without a guest name. Select the company by typing in the Company field,or click the Search button by the company field to open the company search window.

The company name will be displayed in the reservation calendar in place of the guest name.

Searching for guests from a company .

Once a company has been selected in a reservation, if you click the Guest search button, a list of guests assigned to that company is displayed.

Guests per company can also be displayed by clicking on the guest search button and typing in the company in the search panel. This method does not require the company to be already selected in the reservation and will assign both the guest and the company when you return to the reservation.

History for reservations, guests, companies, agents

We had a lot of requests to make the history of the reservation audit log and history by guest, company and agent more readily available, so here it is. Right where you need it when you need it!

Guests and company history.

From a reservation, click on the small edit icon to the right of the guest or company. This will open the guest or company details.

There is a new "accordion" bar along the bottom of the rows on the right, labelled History .

Click the History bar and the guest/company history will be displayed from the most recent going back in time.

You can double click on any reservation in the history list to open the reservation to edit/print/email this.

You can click on any of the columns to sort by that column and use the funnels to filter what you require.

Guest, Company & Agent history.

From the Front desk page, select either Guest, company or agent

Search to find the entry you are looking for

Open the required entry and you will see the History accordion along the bottom of the rows on the right

Click the History bar and the history for that guest, company or agent will be displayed, from the most recent going back in time

You can double click on any reservation in the history list to open the reservation to edit/print/email this

You can click on any of the columns to sort by that column, and use the funnels to filter what you require.

Reservation History.

Open a reservation from the Reservation Calendar or anywhere where reservations or invoices are listed.

There is now a new "accordion" bar along the bottom underneath the Invoice accordion

Click on the History bar to expand this. You will see a set of dates and a Refresh button:

View Logs From : this is the date the reservation was received but can be changed to any later date.

To: This is a date 30 days from the From date. This can be extended for reservations covering a longer period. Please note : the To date is there while we assess performance options and it will be reviewed.

Click Refresh . This will cause the audit logs for that period to be downloaded from the cloud. This may take a few seconds depending on your internet speed and the amount of data in the logs.

The history of the reservation, including changes and emails will be listed from the most recent going back in time.

You can sort by clicking the column titles and you can use the funnels to filter e.g. to view only emails.

Fixes & enhancements

Group bookings : A number of enhancements have been made to group bookings including:

copying and pasting a reservation from a group now correctly assigns the reservation to the group.

group reservations and transactions are re-verified each time a group master invoice is opened to ensure integrity.

group sub-accounts are renamed Account when a reservation is removed from a group to be consistent with non-group reservations

Minimum stay upload : Aurelian automatically uploaded minimum stay to the channel manager but a number of customers didn’t want this and preferred to manage these on-line. This update implements a change to this to give you more choices:

Minimum stays will not be uploaded unless specifically selected in Aurelian. Go to Interfaces>Channel Manager and select Auto Upload Minimum Stay

If you do not have this option, you do not have the latest update. Please connect to our Support Service via your Calling Card as soon as possible so that the auto-installer can be provided to you.

If Upload minimum stay is selected the minimum number of nights set in the Rate Calendar will be applied on-line to your channel manager

If this is not selected, minimum stays will not be updated online

This change will be implemented in the Aurelian cloud service at 4 a.m. GMT/ 5pm NZDT. After this time, minimum stay will only be updated if you have selected this as above.

Debtors : This has been adjusted so reservations containing multiple accounts don't display any accounts that contain zero balance even if there is an amount owing on another account.

Reservation Calendar : the hint box that pops-up when you hover over a reservation now doesn't include the value of group sub-accounts i.e. if the amount is to be transferred to the group master account, this is not included in the hint box.

New features

Moving reservations on the reservation calendar : By popular request, when a reservation is moved to a room with a different room rate from the one on the reservation, a window will pop-up giving the option to keep the original room rate or change the rate using the room rate.

click Change to change the accommodation rate unless the transaction rate has been customized. This is indicated by the Manual check box to the left of the transaction.

click Keep Current to retain all the accommodation rates in the reservation.

this pop-up does not appear for on-line reservations because these rates have been confirmed to the guest previously.

Virtual Rooms : This update includes the full implementation of virtual rooms. This lets you group rooms together to sell as a larger unit. For example :

you may combine smaller rooms to sell as a suite or family accommodation.

a lodge can sell individual bunks in a room or allow the bunk room to be booked as a whole.

When any of these rooms or bunks are booked, the other associated rooms/bunks will have a "virtual block" applied to them so they cannot be booked. This is also uploaded automatically to your channel manager.

Fixes & enhancements

Event Calendar dates would add days on an event when it was viewed on a PC other than the one that did the setup. This was incorrectly reverting to UTC dates when stored in the cloud. This is now fixed. Also when adding a new event, exiting to the menu and going back into the Event Calendar could display this new event twice. This has been fixed.

Country for on-line reservations through SiteMinder : if a guests address wasn't completed on-line, the cloud processor would not store the guests country in Aurelian. This has been corrected, but waiting to the update to the cloud to become active (see enhancements for credit cards below) .

Country for on-line reservations wouldn't appear in the country column in the Reservation List page. This has been corrected.

Out of service reservations : These no longer generate invoice numbers.

Fix to reservations not automatically populating invoice transactions with accommodation when moved. This was introduced with the previous update and has been resolved.

Update to enable Event Details Report : This was missing a section of the report, this is now included.

New features

Credit cards : With virtual cards from on-line booking sites becoming common, we've implemented a new method for handling credit/virtual cards. Please note : this will not be implemented in the cloud until all Aurelian customers have connected to our Support Service to have their Aurelian app updated so that this new feature can be supported by your system.

There are now cards for Booking, Guest, Company, Agent

Reservation stores card received from the on-line channel. You can also enter a card in here manually if you wish. This card is stored just for this reservation. It will not appear anywhere else.

Guest stores the card against the guest name. Each time the guest stays, you'll have access to this card.

Company stores the card against the company. Any guest assigned to that company will have that card available to them.

Agent stores the card against the agent. Any reservation assigned to that agent will have that card available.

Important information

Until all our Aurelian customers connect to have their user apps updated so that we can switch the cloud service to support this new feature, the booking card will continue to appear in the Guest button.

The Bill to selection doesn't change the selection of credit cards as it did previously. Bill To is now simply used as a reminder to you who to bill and it's used in some financial reports. (This used to cause confusion and look like the credit card had changed when switching Bill To so we have simplified this.)

New auto-app updater : We've released a new updating process for PC apps. This will ensure that your Aurelian app is automatically updated ensuring you have the latest of everything. This app will check for updates between 2 a.m. to 3 a.m. your local time each day and if updates are found, it'll update the necessary components. It will then display a page to let you know an update has been delivered for you. This page contains a link to this forum. If your PC is off during this time, a check for updates will take place at the next convenient time when the PC is turned on again.

Important information

You'll need to connect to our support team to get this update. Once this has been done, all future updates will be automatic.

With the auto-updater, we'll be able to release smaller updates more regularly which will provide a better service and experience for you.

We need all PC apps updated to this level so we can turn on the credit card feature above. If you don't have this update when the booking card feature is enabled in the cloud, you won't be able to see the booking credit card until you have this update.

New reports

Invoice List in Financial reports

This report has been completely re-written to make it faster and more useful and it replaces the previous Invoice List report.

It now has an Outstanding option (checkout out invoices with balance owing) or All invoices. The default is Outstanding but this is quickly re-selected inside the report.
Totals for debit, credit and balance owing are now included.
This report is now grouped by month to make reading it much easier.

Departures by day in Daily Reports

This report is similar to the Arrivals by Day report except it's based on departure dates.

This report is designed to help with planning your resources.

Event Details in Daily reports

This new report is a significant aid to those properties that hold meetings, events etc.

It provides a complete worksheet on the booking guest/company, requests, assigned tasks with dates/times and check boxes.

Enter instructions in the Booking Requests section of a reservation for these to appear in the Requests section of the page.

Assign transactions or tasks from meals, services, room layout to the reservation and these will appear in the list of tasks along with the required times.

Reports

Reservation Analysis Report : Number of guests has been added as a column in this report. This is calculated from the number of adults plus number of children (see Back Office > Property Analysis reports).

Invoice List : Modified to ensure all reservations within the selection dates are included. Previously this may not include invoices for reservations that arrived prior to the selection date.

Housekeeping Reports : These have been modified to exclude transactions in a group master account. Previously any housekeeping transactions in a group would also appear in the room containing the group master account.

All reports : have been updated to allow a report to print/display the room description instead of the room number. This is for those properties that use non-numbers for their rooms e.g. Rooms 2A, 2B, 2C or 12Db, 13Sg. Reports are still sorted by room number even though they are displaying the room description. To use, preview the report and click Room Description at the top of the report.

Monthly Occupancy : This has a new chart displaying percentage occupancy month by month in a continuous graph even for multiple years. This enables you to easily see troughs and peaks and patterns.

Fixes & enhancements

STAAH Interface : This was adjusted to correctly handle reservations with different rates each day for a booking.

Hidden rooms : there is the ability to "hide" rooms in the reservation in Setup > Rooms . This has now been extended to also hide these rooms in the pop-up room list from a reservation that shows available rooms and they're also hidden in Group Details when creating a group and the available rooms are listed. Both these now do not include rooms that are hidden in the calendar.

Room Rate window fails to open : The Room Rate pop-up window would fail to open if there was a missing Room Type on a rate plan (showing as N/A on the Rate Plan), or a missing default Guest Type. Both issues have been fixed, and Rate Plans now clear out any N/A Room Types which could occur if a Room Type was deleted.

Local currency in reports : Reports would display $ symbols regardless of the local currency. This is now adjusted in an update of the client software where the local Windows currency setting is used in reports.

New features

Room Descriptions in documents : A new field is available to place the room description into group invoice transaction rows. This is particularly useful for those properties that use short descriptions e.g. 2A, 2B, 2C instead of room numbers. Open your invoice template from Supervisor > Document Templates and select Mailings > Reservation > Invoice and select Transaction Group Booking Room Description NOT ZERO

Documents and guest names : Document templates only had the guest full name available and many customers wanted to send emails with Hi Peter instead of Hi Peter Smith. This is a little tricky as you are reliant on guests to enter their first name when making on-line reservations. If they enter P Smith or Mr Smith then you will send an email with Hi P or Hi Mr. Our solution is to create a new guest name field for inserting into documents called Guest's Firstname or Fullname . You can insert this into document templates from from Supervisor > Document Templates and select Mailings>Insert Merge Field>Reservation>Guest.

If the first name is two or less characters, this field will contain the first name and last name e.g. P Smith .
If it is three or more characters, it will contain only the first name e.g. Peter .

Guest & reservation credit/virtual cards

You'll notice a new section on a reservation - Booking Credit Card . This is designed to store a credit card for that reservation only. This allows you to have a credit card for a guest and a credit card for a reservation.

This will be completed automatically for on-line reservations, including Expedia virtual cards etc. However, the implementation of having this completed automatically has to be delayed until all Aurelian customers have connected to be updated with the new user interface. In the meantime, you can use this section to manually store virtual card details etc. (To be advised on implementation date for on-line bookings).

Guest credit card storage and retrieval : Previously guest credit cards were stored and displayed according to the Bill To selection. i.e. if Bill To showed Company, it would display the card held against that company. It was the same for Agent. This was confusing and led to some customers retrieving the wrong credit card after the Bill To selection had changed. Guest credit cards has been modified so cards are ONLY stored and retrieved against a guest regardless of the Bill To setting.
